What is billing software for a marketing agency?

Billing software for a marketing agency handles recurring and campaign billing together: retainers invoiced on schedule, management fees and media spend shown clearly, payments tracked, expenses recorded, and reports that show how each month went.

PikZiy Books combines payment tracking, retainers and expenses in one place, for the whole team.

WHERE AGENCY BILLING BREAKS

Campaigns run daily. Billing runs late.

01

Retainers raised by hand

Twelve clients, twelve invoice dates, one account manager on leave. Some retainers go out on the 1st; some on the 20th.

A ₹45,000 retainer billed three weeks late, paid a month after that.

02

Media spend in one confusing number

Fee and ad spend rolled into one line. The client's finance team can't match it to the Ads Manager report and holds the payment.

₹1,88,800 on hold over a ₹1,20,000 question.

03

GST on spend, guessed

Some invoices charge GST on the spend, some don't, depending on who made them.

Your CA spots three different treatments in one quarter's GSTR-1.

  1. 01

    Retainers on schedule

Turn each client's retainer into a subscription. It invoices them every month on the same date, issued and emailed, or created as a draft for you to check.

    • Every month, quarter or year
    • An end date for fixed-term contracts
    • Reminders if it isn't paid
A monthly retainer set to invoice the customer every month from 1 November 2026, issuing and emailing each invoice automatically
  2. 02

Fees and spend on separate lines

Bill your management fee and the month's media spend as separate lines, each with its own SAC code and tax, so the client's finance team can match the spend to the platform's report.

    • Spend at actuals, clearly labelled
    • GST on each line, checked against the state
    • Reference and terms on every invoice

    Know which clients owe you

Collections lists overdue invoices first, with promises to pay, notes and follow-up dates. Disputed invoices pause reminders until they're sorted.

    • Ageing by client
    • Promises kept or broken
    • 13-week cash forecast
Collections follow-up list: ₹2,97,360 owed, ₹63,720 overdue, and an overdue invoice with a promise to pay and a follow-up date

    Reports for the month

Sales, payments received, outstanding, sales by client, tax collected and expenses by category, for any period, on screen or as a CSV on Business.

Bill media spend two ways.

Enter the month's media spend and your fee, fixed or as a share of spend. See the client's invoice with the spend as part of your service, and as a pure agent's reimbursement, and what changes.

Media spend

₹7,200.00
Media spend, at actuals, no GST
₹1,20,000.00
Invoice total

The second way only works when you meet every condition of rule 33 of the CGST Rules: a contract that makes you the client's pure agent, no title to or use of what you buy, the spend shown separately and recovered at the actual amount. When the ad account and the platform's invoices are in your agency's name, the spend is usually part of your service, with GST on the whole and input tax credit on the platform's GST. Ask your CA. Nothing you type is saved.

Before you decide: input tax credit in GST and what a GST invoice must show.

QUESTIONS

Asked, and answered.

What is billing software for marketing agencies?

Billing software for marketing agencies invoices monthly retainers on time, bills campaign fees and media spend clearly, tracks which clients have paid, and records what the agency spends. It should let the whole team work in it, and give the founder and the CA reports without a spreadsheet.

How do I bill a monthly marketing retainer?

Invoice the first month, then turn the invoice into a subscription on Business. Every month it is issued and emailed on its date, or created as a draft for you to check first. Our guide to monthly retainers for agency clients covers scope and renewals.

Should I charge GST on ad spend I bill to clients?

Usually yes. When the ad account and the platform's invoices are in the agency's name, the media spend is generally part of the agency's own service, so GST applies to the whole invoice and you claim input tax credit on the GST the platform charged you. Only when every condition of rule 33 of the CGST Rules for a pure agent is met can the spend be shown at actuals without GST. The calculator on this page shows both; ask your CA which applies to you.

How do I show media spend on the invoice?

As its own line, separate from your management fee, with a description such as “Meta ads media spend, 1–31 October, at actuals”, and send the platform's report to the client alongside it. Each line can carry its own SAC code and tax.

Can I charge a percentage of ad spend as my fee?

Yes. Work out the fee for the month, for example 15% of spend, and add it as the management fee line. The calculator here does the sum; PikZiy Books doesn't calculate a percentage of another line for you.

Which SAC code do marketing agencies use?

Advertising services usually fall under SAC 998361 at 18% GST. Social media management, content and performance marketing are often billed under the same code; check the right code for each service with your CA.

Can my team use PikZiy Books?

Yes. Growth includes 3 people and Business 10, with extra users available. Account managers can work as Staff, creating and sending invoices, without access to settings, payment methods or the team.

Can I see which clients are behind on payments?

Every invoice shows Unpaid, Partly paid, Paid or Overdue. On Growth, Collections lists overdue invoices first, with promises to pay, notes, disputes and follow-up dates, and ages each client's balance.

What reports do I get?

On Growth: sales, payments received, outstanding, sales by customer, tax collected, the GST worksheet and expenses by category, for any period. On Business: profit and loss, balance sheet, client statements and CSV downloads.

Can clients pay online?

Yes. Connect your own Razorpay, Cashfree or Easebuzz account and every invoice gets a Make Payment button. The money goes straight to your account with no fee from PikZiy Books.

Run the campaigns. Let the retainers bill themselves.
