What is billing software for graphic designers?

Billing software for graphic designers turns a brief into a clear, priced quote, gets it approved, and bills the project stage by stage until it is paid, with GST, reminders and receipts handled along the way.

PikZiy Books is made by PikZiy Studio, a branding, design and web studio in Pune, so the quotes are built around deliverables, rounds and stages.

WHERE DESIGN FEES SLIP

The logo took three days. The changes took three weeks.

01

“Just one more change”

Two rounds were agreed on a call. The client asks for a fifth, and it feels petty to say no without anything in writing.

18 unbilled hours on an ₹85,000 logo.

02

A lump sum nobody can read

“Branding: ₹1,69,000” leaves the client asking what they're paying for, and leaves you nothing to point to when scope grows.

Packaging for 3 SKUs becomes 5, at the same price.

03

The last 20% never arrives

Files are sent, the client is happy, the final invoice slips down their list.

₹39,884 outstanding for two months after hand-over.

What do extra revisions really cost you?

Enter the fee, the hours the work takes, the rounds you quoted and the rounds the client asked for. See the hourly rate the project really paid, the work you didn't bill, and what to charge for each extra round.

WHAT THE PROJECT REALLY PAID

₹1,214 an hour

QUESTIONS

Asked, and answered.

What is billing software for graphic designers?

Billing software for graphic designers turns a design brief into a priced quote, deliverable by deliverable, lets the client approve it online, and bills the project in stages until it is paid. It should handle GST, clients in other states and abroad, and reminders, so you spend your time designing.

How should a designer quote a branding project?

List each deliverable as its own line, such as the logo and identity system, brand guidelines, stationery and packaging per SKU, with a short description of what is included. Put the rounds of changes, the price of extra rounds, the payment stages and when files and rights are handed over in the terms. Our design quotation guide has a worked example.

Which SAC code do graphic designers use?

Graphic design services usually fall under SAC 998391, specialty design services, at 18% GST. Save it on your items once and it fills in on every quote and invoice. If your work is mainly advertising or photography, check the code with your CA. See HSN vs SAC codes.

How do I charge for extra revisions?

Say in the quote how many rounds are included and what each extra round costs, then add extra rounds as a line on the next stage's invoice. The calculator on this page shows what unbilled rounds cost you and what to charge for each one.

Can my client approve the quote online?

Yes. They open the quote from a link on their phone or computer, with no account, and accept by typing their name and ticking that they agree to its prices, notes and terms. You get an email straight away.

How do I bill a design project in stages?

Create an invoice from the accepted quote for each stage, such as 40% to start, 40% on logo approval and 20% on delivery, and edit it to the share due. Each invoice links back to the quote, and the client pays from its link.

Do I need GST registration as a freelance designer?

Once your aggregate turnover crosses ₹20 lakh in a financial year (₹10 lakh in some north-eastern states), including exports. Below that you can invoice without GST using just your PAN. See GST for freelancers.

Can I invoice clients abroad?

Yes, in US dollars, euros, pounds and other currencies, with the place of supply shown as outside India. Add your LUT declaration to the notes for an export without GST.

Can I hold back final files until the client pays?

PikZiy Books doesn't deliver files. Write the hand-over rule into your terms, such as “final files and full rights on payment in full”, and check the invoice shows Paid before you send the files.

Which plan does a designer need?

Starter covers quotes, invoices, payments, receipts and reminders for one person. Growth adds expenses for software and fonts, reports and GST returns, and room for two more people.
