Milestones that blur
Design was approved in a meeting, development “mostly” finished, the launch slipped. Which milestone is due, and has it been billed?
Phase 2 shipped in September; its invoice went out in November.
Quote the build in milestones, bill each one as it ships, and turn the maintenance plan into an invoice that goes out every month on its own. SAC codes, GST, clients abroad, hosting costs and reminders, all in one place.

Billing software for web developers covers both halves of the business: the project, billed in milestones, and the long tail of maintenance, hosting and support that follows it, billed every month or year.
PikZiy Books handles both with the same invoices, and a built-in way to bill retainers that keep going.

The site is live and the client keeps asking for small changes. Nobody set up the monthly plan.
Four hours a month of updates, unbilled for a year.
You pay the hosting, domain and plugins every year and forget to bill them back.
₹18,000 of renewals you paid for, for a client you no longer hear from.

Quote design, development and launch as lines or stages, with SAC 998314 and the right GST for the client's state. The client accepts online.

Create an invoice from the quote for each phase, or take an advance as a part payment. Every invoice shows what's been paid and what's still due.

Turn the maintenance invoice into a subscription. Every month or year it is issued and emailed on its date, until the end date of the contract.

Record hosting, domains, plugins and tools as expenses, with the monthly and yearly ones set to repeat, so renewals are never a surprise.

Enter the hours a site needs each month, your rate, and what hosting and tools cost you. See the monthly plan price, the year from one client, and each month's invoice with GST.
₹8,700 a month
₹7,200 for your time, with the buffer, and ₹1,500 for hosting and tools. That is ₹1,04,400 a year from one client.
Before GST. Hosting resold to the client is usually billed with GST like the rest of the plan. Rounded up to the next ₹100. Nothing you type is saved.

Billing software for web developers quotes a website build, bills it in milestones, and then keeps billing the maintenance plan every month or year without anyone remembering to. It should handle GST with the right SAC codes, clients in other states and abroad, and the costs of hosting and tools.
Quote the build in phases, such as design, development and launch, with the payment due at each. When the client accepts, create an invoice from the quote for each milestone. Our guide to billing clients for website design has an example.
Invoice the first month of the plan, then turn it into a subscription on Business. It invoices the client every month, quarter or year, and can issue and email each invoice on its date. Use an end date for a fixed-term annual maintenance contract.
Website design and development usually falls under SAC 998314 (IT design and development services), and hosting under 998315. Maintenance and support plans are often billed under 998316 (IT infrastructure and network management). All at 18% GST. Save them on your items and they fill in on every invoice; check the right code for your work with your CA.
Enough to pay for the hours you expect each month, a buffer for urgent fixes, and the hosting, domain, plugins and backups you pay for. The calculator on this page works it out from your own numbers.
Yes. Add the hours as the quantity, with “hours” as the unit and your rate as the price, as a separate line or on its own invoice. There is no timer, so keep your hours in the tool you track them in now.
Yes, in US dollars, euros, pounds and other currencies, with the place of supply shown as outside India and your LUT declaration in the notes. On Growth and above, exports go into the EXP table of GSTR-1.
Usually 10% if the work is treated as professional services and 2% if treated as technical services, once the year's payments to you cross ₹50,000. Record what you received and the TDS kept back with its section when you record the payment. See TDS on professional invoices.
On Growth and above. Record hosting, domains, plugins and SaaS tools as expenses, set the monthly and yearly ones to repeat, and see the month by category. In foreign currency too.
Starter covers quotes, milestone invoices, payments and reminders. Growth adds expenses and GST returns. Business adds maintenance plans that invoice themselves, client statements and double-entry books.
