What is billing software for photographers?

Billing software for photographers handles the money side of every booking: the quote, the deposit that holds the date, the balance and extras, receipts, and reminders, for couples and families as well as brands.

PikZiy Books gives you quotes clients accept online and payment tracking that shows exactly what is still owed on each booking.

WHERE SHOOT MONEY SLIPS

The photos are perfect. The paperwork isn't.

01

A date held on a promise

The couple says they'll book. You turn down another wedding for the same day. The deposit never comes.

A December Saturday lost, worth a full-day booking.

02

The balance after the gallery

The photos go out, the couple is on honeymoon, and the balance waits until someone feels awkward enough to ask.

₹1,48,680 still owed six weeks after delivery.

03

Extras agreed on the day

Two extra hours at the reception, a second location, travel. Agreed in the moment, forgotten on the invoice.

₹12,000 of extra coverage never billed.

QUESTIONS

Asked, and answered.

What is billing software for photographers?

Billing software for photographers sends a clear quote for a shoot, takes the booking deposit, bills the balance and any extras, and gives the client a receipt for every payment. It should work for couples and families as well as businesses, and handle GST once you are registered.

How do I take a booking deposit?

Send the quote with the deposit in its terms. When the client accepts, issue the invoice for the whole booking and record the deposit as a part payment when it arrives. The invoice shows Partly paid and the balance due, and the client gets a numbered receipt. See advance and partial payments.

Can I invoice couples and families, not just companies?

Yes. Add the client as an individual with their name, address and contact details; no GSTIN is needed. The place of supply comes from their address.

How do I add extras like extra hours?

As their own lines: extra hours with “hours” as the unit and your hourly rate, travel and stay, a second shooter, or a pre-wedding shoot. Save the ones you use often as items so they fill in with their price and SAC code.

Which SAC code do photographers use?

Photography and videography services usually fall under SAC 998381, at 18% GST once you are registered. Printed albums and frames are goods with their own HSN codes and rates, so check how to bill them with your CA. See HSN vs SAC codes.

Do photographers need to register for GST?

Once aggregate turnover crosses ₹20 lakh in a financial year for services (₹10 lakh in some north-eastern states). Below that you can invoice without GST, with just your PAN on the invoice. See invoicing without GST registration.

Can clients pay the balance online?

Yes. Connect your own Razorpay, Cashfree or Easebuzz account and the invoice gets a Make Payment button for UPI, cards and net banking. Clients can also pay you by UPI directly and attach the screenshot.

Will clients get reminded before the balance is due?

Yes, by email on the schedule you set, for example a week before the due date and on the day, each with a button to pay. Reminders stop when the invoice is paid.

Can I bill product shoots to companies?

Yes, with their GSTIN, per SKU or per day, and record the TDS they keep back with the payment. On Growth and above, the sale goes into the B2B table of your GSTR-1.

Which plan does a photographer need?

Starter covers quotes, invoices, deposits, receipts and reminders for one person. Growth adds expenses for gear and travel, reports and GST returns, and room for a second shooter or an assistant to sign in.
