Invoice vs Receipt: What's the Difference and When to Use Each

An invoice asks for payment; a receipt confirms you were paid. See when to issue each, what each must contain, and a worked example for Indian businesses.

Quick answer

An invoice is a request for payment, issued after (or sometimes before) you supply goods or services. A receipt is a confirmation that payment has been received. You usually send the invoice first and the receipt once the money arrives. Under GST there is also a receipt voucher, which you issue when you receive an advance for services before invoicing.

The core difference

InvoiceReceipt
PurposeSays "you owe this"Says "you paid this"
When it is issuedAt supply, or at agreed milestonesAfter the money arrives
Effect on your booksRecords income and a receivableRecords cash received and reduces the receivable
Tax roleA tax invoice supports the buyer's input tax creditNo input tax credit on a receipt alone

What a receipt should contain

  • Receipt number and date
  • Name of the person or business that paid
  • Amount received in figures and words
  • Payment mode (UPI, bank transfer, cheque, cash) and reference number
  • The invoice number the payment relates to
  • Balance still due, if it was a part payment
  • Your name and signature

Worked example

Meera, a wedding photographer in Kochi, quotes ₹1,20,000 for a two-day shoot. She asks for a 30% advance.

  1. The client pays an advance of ₹36,000 by UPI. As a GST-registered service provider, Meera issues a receipt voucher for the advance, and GST becomes payable on that advance.
  2. After the wedding, she issues a tax invoice for the full value: ₹1,20,000 plus 18% GST (₹21,600), total ₹1,41,600. The invoice shows the advance already adjusted.
  3. The client pays the balance. Meera issues a payment receipt showing the amount received and "Balance due: ₹0".

The exact GST treatment of advances, including how the advance is shown inclusive of tax, should be confirmed with your accountant, since the receipt voucher has its own required fields under Rule 50 of the CGST Rules. For goods, GST is not payable on advances; this applies to services.

What a GST receipt voucher must show

If you are registered and receive an advance for services, Rule 50 of the CGST Rules says the receipt voucher should include:

  • Your name, address and GSTIN
  • A consecutive serial number (up to 16 characters, unique for the financial year)
  • The date of issue
  • The client's name, address and GSTIN if they are registered
  • A description of the service
  • The amount of the advance
  • The rate and amount of tax
  • The place of supply (state name and code) for inter-state supplies
  • Whether tax is payable under reverse charge
  • Your signature or digital signature

If the advance is refunded and no service is supplied, you issue a refund voucher referring to the receipt voucher.

Tracking part payments

When a client pays in instalments, each receipt should show what is still due. For Meera's shoot:

DocumentAmountBalance due
Receipt voucher (advance)₹36,000Advance held
Tax invoice (full value, incl. GST)₹1,41,600₹1,05,600 after the advance
Payment receipt (balance)₹1,05,600₹0

Linking every receipt to its invoice number is what lets you, your accountant and your client agree on the balance in seconds.

Can an invoice also act as a receipt?

For a cash sale where payment is collected at the same moment, many shops issue one document marked "Paid", and that is common practice. For credit sales, keep them separate: the invoice shows what is owed and the receipt shows what was paid. This makes partial payments and disputes much easier to trace.

Common mistakes

  • Sending a "receipt" before money has actually arrived.
  • Not linking the receipt to the invoice number, which makes reconciliation hard.
  • Forgetting to show the remaining balance on part payments.
  • Taking an advance for services without issuing a receipt voucher when you are GST-registered.

Frequently asked questions

Is a UPI screenshot enough as a receipt?
It is proof that money moved, but it does not record which invoice was paid or the balance due. A proper receipt is clearer for both sides.
Do I need a receipt for every payment?
It is good practice to issue one, and clients often ask for it. In GST, a receipt voucher is required for advances received for services.
Is a receipt a tax document?
A normal payment receipt is not a tax invoice. Your client cannot claim input tax credit on a receipt alone.
