How to Write a Polite Payment Reminder (With Templates for Every Stage)
Ready-to-use payment reminder messages for before the due date, on the day, after it and a final notice, in email and WhatsApp formats for India.

Quick answer
A good payment reminder is short, specific and polite: name the invoice number, amount and due date, attach the invoice, make paying easy and ask for a payment date. Send a gentle note before the due date, a direct one on the day, firmer ones after, and a final notice before you pause work.
The reminder sequence
- 3 days before the due date: a friendly heads-up.
- On the due date: a simple reminder.
- 7 days overdue: a firm reminder.
- 15 days overdue: escalation to a senior contact.
- 30 days overdue: a final notice with next steps.

Templates
Change the names, invoice number, amount and dates, and keep the rest.

Tips that make reminders work
- Always attach the invoice and mention its number and amount.
- Ask a question (“when is it scheduled?”) so the reply has a purpose.
- Keep emotion out, even when you are frustrated.
- Record each reminder in your tracker; see how to track outstanding customer payments.
- Pick up the phone when emails go unanswered after the second reminder.
The first message matters too. See how to send an invoice to a client professionally.
Common mistakes
- Waiting weeks before the first reminder.
- Apologising for asking to be paid.
- Threatening consequences you will not follow through on.
- Sending a reminder for an invoice that was already paid. Check first.
